The Opportunity

Essie Justice Group (Essie) is building grassroots power to dismantle the US incarceration system, the most egregious creator of racial and gender injustice of our time. We are a loving and powerful community of women with incarcerated loved onesand include cisgender women, transgender women, formerly incarcerated women, gender non-conforming (gnc) people, elders, and young people. 

Building a sustainable grassroots institution that can be leveraged in the fight for a Black Feminist future is a priority at Essie. Through the development of thoughtful organizing models, a vibrant organizational culture, and scalable structure our aim is to break the isolation of the 1 in 4 women who have loved ones behind bars and sustain bold decarceration advocacy through the leadership of women with loved ones behind bars. After seven years building an active membership across California, Essie is waging even more ambitious campaigns to divest from state-sponsored punitive control and invest in structures that support the self-determination, freedom, and dignity of Black women and gender non-conforming (gnc) people. In the midst of significant organizational growth, we are seeking four motivated, detail-oriented, and values-aligned Administrative & Project Coordinators to join our team. 

The Administrative & Project Coordinator is an excellent opportunity for ambitious, emerging professionals looking for an entry point into movement work and enthusiastic about supporting and contributing to a deeply committed and talented team of mission-driven leaders. The people who will excel in this role are natural problem solvers who find joy in making meetings, events, and environments both welcoming and conducive to the urgent and collaborative work we undertake at Essie. As an integral member of each of our four department teams, each of the four Administrative & Project Coordinators will work cross-functionally across the organization and in collaboration with one another to bring their operational expertise both to the administrative systems that support our growing team and the events through which some of our most important work as a community and team takes place. Additionally, each Administrative & Project Coordinator will support their department team’s leadership by providing direct administrative support to a director of the department.

The person in this role is an effective advocate, ensuring that the needs and well-being of the organization are met while skillfully maintaining important staff and vendor relationships. The ideal candidate recognizes that our team spends more waking hours working than anything else, and works to support their productivity, collaboration, learning, and growth by ensuring our work environment and projects run smoothly and support team wellbeing. A natural multi-tasker who is able to wear many hats and follow through on various deliverables will thrive in this role, this person values, and is excited by details and research. The Administrative & Project Coordinator approaches their organizational responsibilities with creativity, consistency, and synergy, which enables our teams to operate from a well-resourced foundation.

Core Responsibilities

Departmental Administrative & Logistics Support -  Support the implementation of organization-wide operational systems focused on information storage, communication, and workflow management and support logistics for organizational events. 

  • Serve as an assistant to the department director - managing her/their calendar, responding to meeting requests, and scheduling online or in-person meetings, as well as coordinating meeting and event logistics and travel arrangements including booking accommodations, ground transportation, meals and tracking documentation for expense reports. 
  • Provide administrative and logistical support for department team events and meetings including scheduling, food and space set-up, and note-taking as needed.
  • Coordinate technology needs including audio-visual setup and, if meetings are held online, troubleshoot the participants’ technology needs. 
  • Maintain an organized system. 
  • Complete data entry projects and ensure our database has up to date information to drive organizational decision making and relationship holding. 
  • Support the core functions of your team such as financial processes and office management for the Operations team, donor correspondence for Communications & Partnerships, program administration for Membership & Organizing, and logistics for political actions and training for Campaigns & Advocacy.
  • Provide administrative support to other directors/teams when an assistant or coordinator is out. 

Special Projects - Help drive department goals forward through project support as needed.

  • Execute special projects delegated by managers that support your growth in the core areas of Essie’s work including organizing, campaigns, Black feminist institution building, and narrative strategy.
  • Do what it takes to ensure the success of assigned projects through strong project management, facilitation, communication, and administrative and logistics support.

Who We Are Looking For

Ideal Qualifications

  • 1-2 years of administrative and/or project coordination experience in a full time role or meaningful internships.
  • Detail-oriented, with excellent administrative and organizational skills.
  • Experience with data entry and maintaining digital and hard-copy filing systems.
  • Experience developing efficient processes that allow for the successful functioning of day-to-day operations.
  • Ability to work independently and with discretion in decision-making related to administrative matters. 
  • Comfort with a fast-paced and non-traditional work environment.   
  • Feels an authentic personal need and desire to develop additional skills in project management, business email correspondence, personal time management systems, and team building.
  • Adept at computer programs including Microsoft Word, Outlook, PowerPoint, Excel, and Google Suite.
  • Commitment to the beliefs and values of Essie with a demonstrated passion for progressive politics, specifically in gender justice, race justice and ending mass incarceration.

The Position

The Administrative & Project Coordinator is a full-time, non-exempt, hourly position. The salary for this position is $28.28/hr or the equivalent of $58,300/year with full medical, dental, and vision benefits, optional 401(k), a substantial vacation package, and a monthly personal wellness stipend. These positions will be based in one of Essie’s offices in Oakland, California or Los Angeles, California. Essie has a mandatory COVID-19 vaccine policy.
