The Opportunity

Essie Justice Group (Essie) is building grassroots power to dismantle the US incarceration system, the most egregious creator of racial and gender injustice of our time. We are a loving and powerful community of women with incarcerated loved onesand include cisgender women, transgender women, formerly incarcerated women, gender non-conforming (gnc) people, elders, and young people. 

Building a sustainable grassroots institution that can be leveraged in the fight for a Black Feminist future is a priority at Essie. Through the development of thoughtful organizing models, a vibrant organizational culture, and scalable structure, our aim is to break the isolation of the 1 in 4 women who have loved ones behind bars and sustain bold decarceration advocacy through the leadership of women with loved ones behind bars. After seven years building an active membership across California, Essie is waging even more ambitious campaigns to divest from state-sponsored punitive control and invest in structures that support the self-determination, freedom, and dignity of Black women and gender non-conforming (gnc) people. In the midst of significant organizational growth, we are seeking a motivated, values-driven, and discerning Operations Manager to join our team.

The Operations Manager is a responsible and resourceful leader who thrives on supporting a solid infrastructure from which an ambitious and visionary movement-building organization can be successful. This person will drive our internal communications, training, and data collection systems to ensure the full utilization of our operational functions by our staff and members. They are a highly collaborative leader who works hands-on with finance, development, and program teams to operationalize solutions necessary to achieve the organization’s goals. 

The Operations Manager approaches their responsibilities with confidence, rigor, and a keen attention to detail and organization, especially in a fast-paced, people-centered environment. The ideal candidate is forthright and transparent, and operates from an unwavering commitment to effective communications and efficiency on a daily basis. They are always trying to find ways to improve their own leadership, and thereby, their organization's success.

Start date: January 10, 2022. 

Core Responsibilities

Operations Management - Manages the development and maintenance of internal and operational systems to keep Essie functioning smoothly.

  • Bring operational expertise to the development of organizing, campaigning, and communications strategies and leads or owns some implementation.
  • Develop operational and organization standards and guidelines to ensure our staff team can fully utilize our financial and internal communications and coordination systems.
  • Manage the staff resources, vendors, technology and supplies, and support the Director of Operations & Finance in managing tenant / landlord matters across Essie’s two offices in Oakland and Los Angeles. 
  • Directly manage up to three staff to run and provide organization, training, data management, and coordination of operations.
  • Manage significant infrastructure projects as delegated.
  • Provide hands-on finance support in collaboration with the Director of Finance and Operations with analysis of trends, execution of processes, and development of funder financials, as well as Essie’s annual budgeting process and audit.

Data & Internal Communications Management - Manage Essie’s internal communications and data strategies to ensure effective communications between teams and across the organization.

  • Serve as an internal expert and staff resource that leads the effectiveness of the technological tools, data, communications, strategies, and other software Essie uses.
  • Manage Essie’s organization-wide internal communications and project management tools, as well as the feedback process to ensure our internal communications strategy is operable and effective.
  • Own data collections strategy across the organization, and manage implementation and maintenance.
  • Identify and propose organizational needs to customize or upgrade Essie’s internal database.

Training & Cross-Team Coordination - Oversee organization-wide systems and processes, and lead team trainings. 

  • Oversee all internal systems and standards and ensure fidelity through training and one-on-one interactions.
  • Train team on operations, finance, internal communications, and project management systems and standards.
  • Provide hands-on coordination in full team events or training.
  • Coordinate projects from start to finish and ensure cohesive processes and outcomes. Delegates project tasks when necessary.

Who We’re Looking For

Ideal Qualifications

  • 4-5 years’ experience in operations, training, and data collections with a minimum of 2 years serving in management role(s) within the nonprofit sector.
  • Successful track record as a collaborative leader who excels in managing multiple projects, and is comfortable working in a fast-paced and non-traditional work environment.
  • Demonstrated ability to consistently make accurate and clear assessments about a constantly changing organizational landscape and with foresight to make determinations, produce insightful ideas, and set forth impactful next steps.
  • Excellent time and project management skills.
  • Impeccable attention to detail.
  • Effective writing, editing, and verbal communication skills.
  • Meaningful experience coordinating team events, training, and cultural or structural change processes.
  • Adept at computer programs including Microsoft Word, Outlook, PowerPoint, Excel, and Google Suite.
  • Commitment to the beliefs and values of Essie with a demonstrated passion for progressive politics, specifically in gender justice, race justice and ending mass incarceration.

The Position

The Operations Manager is a full-time, salaried, exempt position. This position is supervised by the Director of Finance and Operations. The salary for this position is between $85,000 - $95,000 depending on experience, with full medical, dental, and vision benefits, optional 401(k), a substantial vacation package, and a monthly personal wellness stipend. The position is based in one of Essie’s offices in Oakland or Los Angeles, California. Essie has a mandatory COVID-19 vaccine policy.
